The Challenge
As sales scaled, OakRoot's fulfillment process became a massive administrative bottleneck:
- Manual Data Transfer: 4 full-time staff members manually entered order details from Shopify into ShipStation and proprietary vendor fulfillment portals.
- Inventory Delays: Inventory databases were updated once daily. High-volume periods led to overselling and backorders.
- Shipping Bottlenecks: Customer shipping confirmations and tracking numbers were emailed manually, resulting in client service backlog.
Our Solution
A TVAs VA implemented a fully automated fulfillment pipeline using Zapier and database syncs:
1. Automated Order Pipeline
The Technical VA built a multi-path Zapier workflow that instantly pulls order data from Shopify upon payment confirmation, validates the address, and routes it directly to ShipStation. If an order requires customization, it is flagged and routed to a specific queue.
2. Real-Time Inventory Sync
The VA synchronized Shopify inventory databases with vendor warehouses. Stock counts now update automatically every 10 minutes, preventing overselling.
3. Automated Tracking Notification
When shipping labels are generated in ShipStation, tracking numbers are automatically pushed back to Shopify, updating order status and emailing the client with tracking links.
